What to know Invoices fund payroll. If invoices aren’t paid, payroll cannot run. You’ll typically see 3 types of invoices:

Deposit invoice

A one-time security deposit is collected per employee onboarded through Multiplier’s entity. This is fully refundable post the employee’s exit

Issued during employee onboarding. Must be paid to activate employee onboarding.

Gross salary invoice

To collect funds required for employee payroll for the respective month. Includes gross salaries for each employee and management fees as outlined in the signed MSA.

For monthly and semi-monthly payroll, the invoice is generated during the third or fourth week of the month preceding the payroll cycle.

Reconciliation invoice

To reconcile actual payroll costs (based on payroll runs) with the amount collected in the gross salary invoice. Includes elements like payroll costs, FX adjustments, employer contributions, expenses, pay supplements, etc.

Typically issued during the last week of the payroll month.

What this is Direct Debit lets Multiplier automatically collect invoice payments by the due date – so payroll doesn’t get delayed.

Why it matters Payroll timelines are tightly regulated, and even a short delay in funding can result in missed salary payments, statutory penalties, and a poor employee experience. Manual transfers are prone to errors, bank cut-off times, time zone gaps, and approval delays – all of which can push payroll to the next cycle. Setting up Direct Debit ensures invoices are funded automatically and on time, so salaries are paid as scheduled, compliance deadlines are met, and your team’s trust is never impacted.

Timesheets are legally required for hourly employees in the Philippines and are essential for calculating statutory pay correctly.

They determine:

  • Overtime pay

  • Night Differential (10 PM–6 AM)

  • Holiday pay (regular & special)

  • Rest day premiums

  • Combinations (e.g., working at night on a holiday)

How it works on Multiplier

  1. Employee submits timesheet

  2. Manager reviews & approves

  3. Only approved hours are picked up for payroll

Payroll cutoffs (very important)

Approved hours are paid in the next payroll cycle.

Monthly payroll

  • Cutoff: 15th of the month

  • Anything approved after → paid next month

Semi-monthly payroll (most common in PH)

Cutoffs apply even on weekends/holidays.

Best practice

  • Ensure timesheets are submitted and approved before cutoff

  • This avoids:

  • Delayed salary

  • Missed overtime / night diff / holiday premiums

  • Payroll corrections in the next cycle

Payroll cutoffs

Payroll cutoffs are used to finalize salary payments, salary revisions, pay supplements (bonuses, allowances, etc), and expense reimbursements. These deadlines ensure payments are processed and disbursed within the correct payroll cycle.

Philippines payroll runs monthly and semi-monthly (most common in PHL). Admins can choose the pay cycle they prefer. For any of these payments to be processed within the same month’s payroll, they must be submitted and approved before the cut-off date.

2nd pay cycle (16th – 31st): Cut-off date is the 15th* of the current month.

Payment will not be approved for that cycle’s payroll and will be moved to the next payroll cycle.

*Note: The cutoff date remains the same even if it falls on a weekend.

Gross-to-net report

Breaks down each employee’s earnings from gross pay to net pay, including taxes, statutory deductions, and employer contributions.

Payroll input

Shows all variable and fixed inputs used to run payroll, such as salary changes, bonuses, reimbursements, and deductions.

Total payroll cost

Provides a consolidated view of total employer spend, including gross salaries, taxes, social contributions, and benefits.

Variance report

Highlights differences between current and previous payroll runs, helping identify changes in pay, taxes, or headcount.

General ledger

Maps payroll components to accounting codes for easy reconciliation and posting in your finance systems.

Employer summary

Summarizes total employer liabilities and contributions by country and pay period.

Employee summary

Gives an employee-level snapshot of earnings, deductions, and net pay for the selected payroll cycle.

Tax summary

Aggregates all statutory tax withholdings and employer taxes, with amounts due by authority and jurisdiction.

These reports are always available in your dashboard – no need to request them manually - and can be downloaded

What FX rate is used? Multiplier converts payroll costs into your selected billing currency. The FX rate applied is the one in effect on the invoice date.

What this means for you:

  • Rates are transparent and clearly shown on each invoice

  • The applied rate reflects real-time market conditions at the time of invoicing, helping you avoid hidden markups or surprises

Onboarding basics Once the deposit invoice is paid:

  1. Employee is assigned an onboarding manager

  2. Employee signs up on the platform

  3. KYC, payroll & compliance forms are completed

  4. Employee is activated

  5. Employee is invited to an induction webinar for a walkthrough of the platform

  6. Once salary is processed, employees can view their payslips in the Pay Statements section of the employee portal.

Offboarding rules

  • All resignations and terminations must be initiated in the Multiplier platform

  • Sufficient notice must be given to Multiplier

  • Backdating is not recommended

Final settlement Includes:

  • Last salary

  • Unused leave payout

  • Statutory components

  • Severance (if applicable)

Note: Terminations in the Philippines can be complex and must be handled correctly. Always reach out to Client Support for guidance on terminations to ensure compliance and avoid legal risks.

Severance at Multiplier Multiplier accrues severance monthly. This means a small amount is set aside each month so there’s no large surprise payout later.

13th-month pay

  • Equal to one extra month of salary (prorated based on the employee’s join date)

  • Employees must complete a minimum tenure of one month to be eligible for 13th month pay

  • Paid in addition to gross salary

  • Mandated by the Philippine’s government

  • Automatically calculated and paid by Multiplier

  • Paid before Christmas

Statutory contributions Mandatory compensation and benefits include contributions to three government funds:

  1. Social Security System (SSS)

  2. PhilHealth

  3. Pag-IBIG Fund (housing)

  4. 13th Month Pay

Note: Statutory contributions are calculated and deducted automatically.

Background verification It is recommended that new hires and existing employees undergo background verification. You can request checks like:

  • Criminal record

  • Employment verification

  • National ID checks

These are minimum statutory entitlements – Multiplier configures these automatically for every country during onboarding to ensure compliance.

  • Service Incentive Leave: 5 days/year

  • Sick leave: No mandatory sick leave beyond SIL (SSS provides 90% salary for 120 days if hospitalized 4+ days)

  • Maternity leave: 105 days (120 for solo mothers)

  • Paternity leave: 7 days

  • Solo parent leave: 7 days

  • VAWC leave: 10 days

  • Special leave for women: 60 days

You can customize leave entitlements and time-offs as per your company policy during onboarding or later by navigating to Time off policies under Company settings on the platform. You can choose to configure your leave policies as:

  1. A lump sum policy

  2. An accrual policy

  3. An unlimited leave policy

Note: Minimum entitlements are always provided as a lump sum up front and EOR customers are not allowed to reduce the leave entitlements below the minimum requirements.

Health insurance While providing health insurance to your employees is not mandatory, it is highly recommended to promote employee well-being, financial security, and long-term retention. Multiplier partners with local insurance providers to offer a range of benefits plans that include:

  • Inpatient & outpatient care

  • Dental & maternity coverage

  • Mental wellness programs

  • The option to add dependents

Important billing note Pricing appears monthly, but insurance is billed annually.

When this applies If your employee is not a Philippine citizen and will be working from the Philippines, a valid work permit and visa may be required.

What to know upfront

  • Work permits and visas are country-specific and role-specific

  • Processing times and costs vary based on nationality, role, and location

  • This is not instant – immigration processes usually take several weeks and can take up to several months in some cases

  • Employment cannot legally start until the correct permits are in place

How does Multiplier help? Multiplier supports visa and work permit processes where applicable, including:

What should you do? If you think a visa or work permit may be required:

  • Flag this as early as possible (ideally before onboarding starts)

  • Share employee nationality and role details with Multiplier

  • Avoid confirming start dates until immigration timelines are clear

Important note Visa timelines are external and government-controlled. Delays can happen, even after submission – planning ahead helps avoid disruptions.
