Types of invoices generated by Multiplier
Multiplier generates a variety of invoices to support compliant payroll and workforce management across global teams. Each invoice type is designed to address a specific business need—from regular payroll funding to statutory compliance, benefits, and off-cycle adjustments. Below is a comprehensive guide to the different invoices you may encounter as a Multiplier client, including their purpose, timing, and key components.
1. Funding Invoice (Gross Salary Invoice)
To collect funds required for employee payroll for the respective month.
Generation Timeline During the third or fourth week of the month preceding the payroll cycle.
Includes
Gross salaries for each employee (verifiable on the Multiplier platform)
Management fees as outlined in the signed Master Service Agreement (MSA)
Note: For clients on the Annual Plan and monthly payment, the management fee is included in the Reconciliation Invoice. If the customer is on an Annual upfront payment plan, then the management fee would not be present on the funding invoice. Timely payment is essential to ensure salary disbursements are made on time.
2. Reconciliation Invoice (EOR Invoice)
Purpose To reconcile actual payroll costs (based on payroll runs) with the amount collected in the Funding Invoice.

Total Payroll cost - Gross salary and employer contributions
Pay supplements
Reimbursed expenses
FX rate adjustments
Processing fees
SM2 fee (for clients on semi-monthly payroll)
VAT/GST (if applicable, depending on the region)
Note Amounts already collected in the funding invoice i, i.e., gross salary, are deducted from the recon Invoice. A credit note is issued if Multiplier owes the client after payroll cost or FX adjustment.
Generation Timeline Typically issued during the last week of the payroll month.
3. Deposit Invoice
Purpose A one-time security deposit is collected per employee onboarded through Multiplier’s entity. This is fully refundable at the end of the employee’s tenure.

Generation Timeline Issued during employee onboarding (on an occasional basis).
Annual Insurance Premium Invoice
Purpose To cover the annual insurance premiums for employees.
Billing Frequency
Non-U.S. employees: Billed annually
U.S. employees: Billed monthly
Generation Timeline Generated after the employee’s start date, aligned with the upcoming billing cycle(By the end of the month or during the first week of the month following onboarding). Example: If the employee starts on October 1st, the invoice will be generated by October 31st.

5. Order Form Advance Invoice
Purpose To collect a 10% advance on long-term contracts (EOR, GP, AOR) at the time of Order Form (OF) signing.
Details
The advance is automatically adjusted against future bills under the same offering.
An invoice is only generated if a valid billing contact is added and active.
Generation Timeline Issued immediately after the Order Form is signed.
6. Contractor Invoice
Purpose Generated when the client creates a contractor bundle on the platform.
Includes
Contractor compensation
Applicable management fees
Generation Timeline Issued immediately upon contractor bundle creation.
7. VAS Incident Invoice (Laptop Invoice)
Purpose To bill clients for laptops procured for employees during onboarding via Multiplier.
Includes Includes the Laptop cost and IT assets management fee
Generation Timeline Issued at the time of laptop procurement/onboarding.
8. Off-Cycle Invoice
Purpose This invoice is issued for processing salary payments or adjustments outside the regular payroll cycle. It is typically titled as “[Month/Year] Salary – EOR (Off-cycle)” or “Payroll Off-cycle Invoice – [Month/Year]”.

Off-cycle Fee (also referred to as Off-cycle Management Fee; this is equivalent to the standard management fee and may be waived in certain cases, such as CSM requests or errors on Multiplier's end.
Generation Timeline Issued as needed, when off-cycle payroll is processed.
9. Interest Invoice
Purpose Issued when an invoice payment is overdue.
Includes Interest charges on delayed payments made after the due date.
Generation Timeline Generated occasionally, only in the event of late payment.
10. Annual Plan Invoice
Purpose To bill clients under the Annual Plan for the management fee.
Includes
Annual management fee
Generation Timeline
Issued annually
If the billing frequency is monthly (as per the Order Form), the management fee is included in the Reconciliation Invoice
11. Single Invoicing Invoice
Purpose A consolidated invoice that combines all charges related to one or more employees into a single document for the billing cycle.
Replaces the need for separate Funding and Reconciliation invoices.
A detailed breakdown report is provided along with the invoice.

Generation Timeline Issued in the last week of the billing month. Example: The May invoice will be generated between May 26th and May 31st.
12. Variable Funding Invoice
Purpose This invoice is generated when the variable pay or pay supplement exceeds the employee's monthly gross salary. Any expenses for the same period are also included in the invoice. Includes

Generation Timeline
Issued on the 17th, 18th, or 19th of the month, depending on when the pay supplement is added in relation to the payroll cut-off, or in the next cycle if added afterward.
