What is Expensify and how does integration help me?

Expensify is an expense management tool used by companies to streamline and automate the process of creating, approving, and tracking expenses. Expensify helps you or your business save time and money by making it easier to track and manage expenses.

You can integrate Expensify with Multiplier to take advantage of powerful expense management with automatic payroll and tax calculation and compliance for your employees.

It provides:

  • Faster Reimbursements

  • Enhanced Compliance and Reporting

  • Reduced administrative burden

  • Improved employee satisfaction

Pre-requisites for Expensify

  • Work email address needs to be added for all employees that you manage on Multiplier and should be present for sync to work properly. You can go to the Employee profile → Employment details and fill in their work email address

  • Ensure that the work email address of the employee on Multiplier's platform is the same as their email address on Expensify for the sync to function accurately.

  • Lastly, for the sync to function seamlessly, ensure that the receipt visibility is made public in Expensify.

How to connect Expensify with Multiplier?

  • Login to the Multiplier customer app

  • Go to Integrations under the "Organization" section on the left navigation panel. If you are not seeing the Integrations module, please contact your CSM to get the module enabled for you.

  • Click on Expensify

  • Go through all the information and prerequisites before connecting with Expensify and make necessary changes on Expensify or Multiplier if not done already.

  • Click on the ‘Connect’ button to start the sync. You will be prompted to enter the Partner User ID and Partner User Secret

  • Click on ‘How do I find my partner User ID and Secret’ if you don’t know how to find it. You will be redirected to your Expensify URL. You can alternatively go to http://www.expensify.com/tools/integrations/ to get your user ID and secret

  • Copy the User ID and Secret and paste it into Multiplier. Once validated, your integration with Expensify is set up.

  • Here on, any future expenses created or approved on Expensify will be synced to Multiplier based on the email address. Make sure the employees have the same email address on Multiplier and Expensify for sync to work properly.

How does Sync work?

  • Once enabled, all future expenses will be synced to Multiplier based on the email address on Multiplier and Expensify.

  • Please note, this sync does not sync historic data, which means, past expenses on Expensify will not be synced to Multiplier.

  • For the expenses to sync into Multiplier, they must be "approved" on Expensify.

  • Any change made on Expensify will automatically be synced to Multiplier if the change is made before the payroll cut-off date. If the change is made after the payroll cut-off date, this will not reflect within Multiplier.

  • Any expenses that are "unapproved" on Expensify, will be removed from Multiplier as well.

  • The data that will be sync between Multiplier and Expensify are
    Expense name, amount, currency, and created date.

  • Frequency of sync - every 24 hours

FAQs

  1. How frequently does the sync happen? Can I change the sync frequency?

    Data is synced every 24 hours. Currently, change in frequency is not supported.

  2. When does the sync happen to Multiplier?

    Whenever someone approves the expenses on Expensify, Multiplier will receive the information within 24 hours to sync the data.

  3. Will Multiplier sync the previously approved or paid expenses to Multiplier?

    No. Only the future expenses after sync is ON will be synced to Multiplier. You can un-approve and approve the previously unpaid expenses to sync them.

  4. Will Multiplier sync the receipt too?

    Yes, Multiplier will also sync the receipts of the expenses. To stay compliance, please make sure that all expenses have the receipts attached

  5. What happens if the receipts are not available?

    We will sync the expense data but to maintain accuracy in payroll, our payroll team could still check and make it mandatory to add receipts. Hence, we suggest adding the receipt for every expense.

  6. Will all types of expenses such as reimbursable and non-reimbursable be synced?

    Yes, we will sync all expenses in Expensify to Multiplier.

  7. If I delete the expense in Expensify, what happens in that case?

    Deleting expenses on Expensify will remove the expense from Multiplier if done before the payroll cut-off date. If any changes are made after the payroll cut-off date for an expense, Multiplier will not make any updates to existing expenses.
