How to fill and submit a timesheet as a Philippines employee?

As an employee based out of the Philippines, you could be on an hourly /monthly/ annual compensation structure.

Whether you are on an hourly or monthly/annual pay rate, filling and submitting your timecards to ensure timely and accurate salary payouts is essential.

A timecard refers to the number of hours clocked in/ worked on a particular day. A timecard must be filled and submitted every day by hourly pay rate employees and has to be sent for the manager's approval.

Choose between hourly or monthly/annual pay rates from the options below, depending on your compensation structure, to understand more about how to use timesheets.

Hourly pay rate

If you are on an hourly salary structure, you are required to fill & submit timecards for approval on a daily basis, and all the hours that have been approved before the payroll cut-off date will be processed in the upcoming pay cycle.

Approved timecards from your employer will enable Multiplier to calculate your salary based on your hourly rate and the number of hours you have worked.

Follow the below steps to fill, save & submit a timecard for approval.

Step 1: Click on “Timesheets” under the “Administration” section on the sidebar.

Step 2: Click on the current pay period, where you must add the hours worked.

2.1) You can add hours for the same day & past dates.

2.2) The future dates will remain locked.

2.3) All the days for which hours have not been added will display a “+” icon.

Step 3: Click on the “+” icon corresponding to the date you want to update hours.

3.1) Once that's done, fill in the start and end times and save hours worked.

3.2) ​​You will notice 2 icons on certain dates in the calendar. The icons indicate that the particular day is either a Rest Day or a Regular Holiday/ Special Holiday.

  • Umbrella icon - Rest Day

  • Calendar icon - Special or Regular Holiday

3.3) If you have previously filled the timecard for a particular day but have not submitted it, the number of hours will be auto-saved on your current timesheet as regular hours and will display a 'Pending' status. However, you can edit & update the information if needed.

Step 4: To select the Day Type, click on the dropdown on the right side of the date. The applicable Day Types are as follows:

  1. Working Day

  2. Rest Day

  3. Regular Holiday

  4. Special Holiday

  5. Regular Holiday falling on Rest Day

  6. Special Holiday falling on Rest Day

Note

  • The default Day Type will depend on the day you are filling out the timesheet. However, you can change the Day Type as applicable.

    For example: If you are filling a timesheet on the 25th of December 2022, the Day Type will default appear as a Regular Holiday. If the 25th falls on a Sunday, by default, the Day Type will appear as Regular Holiday on Rest Day. However, you can change the Day Type to Working Day if your employer pays you the same rate on the 25th of December.

  • When a Regular/ Special Holiday falls on your Rest Day, the Day Type will be auto-selected based on your holiday calendar.

  • If you have worked on a Holiday, the dropdown will be auto-selected as a Rest Day, Regular or Special Holiday, or a combination of these. However, if your employer doesn't pay differently for working on these holidays, you can toggle them off to record your hours as a regular Working Day.

Step 5: Enter the start and end times, along with the break duration.

Note -

  • The number of Overtime(OT)/ Night Differential (NSD) hours is auto-calculated based on the start and end times you input.

  • Once you click on update, you will be able to see the summary of total hours worked and to view a breakdown of OT/ NSD hours, you can hover over the hours worked.

  • Overtime in Night Shift does not apply when you choose to work in does not apply when you choose to work the night shift to cover up for your lost hours during the day.

Step 6: All the timecards with 'Pending' status can be submitted for approval by clicking on 'Submit for approval'.

Note:

  • All the timecards with 'Pending' status will be auto-submitted for approval on the submission cut-off date. To know the cut-off date for submission, please refer to the banner at the top of the timesheet module.

  • If you want to submit only a few dates, you can select them together on the left and submit them for approval.

  • Once submitted, the status for those timecards will display a 'Submitted' status. It will change to 'Approved' once the employer has approved the same.

Monthly/ Annual pay rate

If you are a monthly/annual pay rate employee, you are required to fill & submit timecards only for Overtime(OT)/ Night Differential (NSD)/ holiday hours that you might have worked on a particular date, and the payouts for all the approved adjustments (updates made to the default work shift time) will be processed in the upcoming payroll.

You are expected to add any such hours for a particular pay period in the same cycle. For instance, for the cycle of May 1 - 15, you are expected to add the hours worked on any date on or before the cut-off date.

Follow the below steps to fill, save & submit a timecard for approval.

Step 1: Click on “Timesheets” under the “Administration” section on the sidebar.

Step 2: Click on the current pay period to find the date on which you must update the hours.

2.1) The start and end times will be auto-filled based on your default work shift hours.

2.2) All the days for which hours have not been added will display a “+” icon.

2.3) You will be able to add hours for a past date or current date.

2.4) The future dates will remain locked.

Step 3: Click on the “+” icon corresponding to the date where you want to update hours.

3.1) Fill in the start and end times and save the hours worked.

By default, your work shift data will be auto-inputted on the platform. In case of any adjustments to the start time/ end time, you must update the same.

3.2) You will notice 2 icons on certain dates in the calendar. The icons indicate that the particular day is either a Rest Day or a Regular Holiday/ Special Holiday.

  • Calendar icon - Special or Regular Holiday

Step 5: Update the clock-in and clock-out time, along with the break duaration.

Note -

  • Overtime in Night Shift does not apply when you choose to work in the night shift to cover up for your lost hours during the day.

  • Once you click on update, you will be able to see the summary of total hours worked and to view a breakdown of how many OT/ NSD hours, you can hover over the hours worked.

Step 6: All the timecards with a 'Pending' status can be submitted for approval by clicking on 'Submit for approval'.

Step 7: To know the cut-off date for submission, please refer to the banner at the top of the module.

All the timecards with 'Pending' status will be auto-submitted for approval on the submission cut-off date. Note that your auto-filled work shift hours will be auto-approved. Approval is needed only for the days when you have made any updates.

Once submitted, the status for those timecards will display a 'Submitted' status. It will change to 'Approved' once your employer has approved the same.
